How should a hospital procurement team compare disposable suppliers?
Compare on four measurable axes rather than unit price alone: landed cost per use (not per piece), specification match (GSM, ply, mesh, size tolerance), supply reliability (lead time, MOQ, ability to hold stock against a rate contract), and documentation (batch traceability, certificate scope, sterilisation records). A gown that is 3 GSM lighter than specified is not the same product at a lower price.
Why is per-piece price the wrong comparison?
Non-woven products are quoted by piece but manufactured by weight. A 25 GSM SMS gown and a 35 GSM SMS gown look identical in a photograph and differ substantially in cost and barrier performance. Always compare quotations at the same GSM, the same size and the same sterilisation status.
For cotton products, the equivalent variable is mesh count and net weight. A 19x15 mesh gauze swab is not comparable to a 24x20 swab of the same dimensions.
What should a rate contract specify?
Specification with tolerance, pack configuration, minimum shelf life at delivery, batch identification format, lead time from purchase order, penalty or substitution clause for short supply, and a fixed price validity period with a named escalation trigger such as raw polymer or cotton index movement.
Ask the supplier for their MOQ per SKU and per production run separately. Those are different numbers, and the second one determines how quickly they can service a top-up order.
Which questions surface a trading company posing as a manufacturer?
Ask for the factory address and whether it differs from the office address. Ask which processes are in-house versus outsourced. Ask for production capacity per shift for the specific SKU. Ask for a sample from current stock plus a sample from the next production run.
